How Replacement Works

Keep what the business depends on. Rebuild the arrangement around it.

First, we check whether replacement is worth pursuing. Then we map the work your people must be able to do: the decisions, records, exceptions and connections that make the system useful.

Calibre turns those requirements into a defined replacement only when the economics and technical findings justify it.

01 — Prove

Resolve the important unknowns before committing to a build.

The Free Fit Check establishes whether the opportunity is worth investigating further. Before implementation, deeper work must confirm the critical workflows, data access, integrations and security requirements, then update the economics.

If a must-have dependency cannot be reproduced or retained, or a better alternative wins, we recommend against the build.

02 — Scope

Start with the real work behind the screens.

We examine how the system is used, including the business rules and exceptions that are easy to miss in a feature list. Required data, integrations and external services are part of that scope.

This makes the proposal specific: what must keep working, what can change, and what the replacement does not need to include.

03 — Define

Know what “finished” means before development starts.

The implementation has an agreed scope and fixed price, with workflows, integrations, performance expectations and acceptance criteria defined in advance.

Representative users must be able to complete the agreed work. Required integrations must function. The agreed data must be migrated and reconciled.

04 — Build

Build to the agreed definition.

Calibre builds the agreed workflows, integrations and data handling to the fixed scope and acceptance criteria. Completion is measured against that shared definition.

05 — Verify

Keep the current system while the replacement earns your confidence.

Calibre prepares and rehearses the migration, checks the agreed data, tests workflows and integrations, and supports user acceptance.

06 — Switch

Switch only when the replacement is ready.

The current system remains available until the replacement passes the agreed readiness requirements. Cutover follows that evidence and your approval.

Calibre led a major replacement of old system and migration of data for a Arena, a startup valued at $4.2 milion. Sensitive data such as transactions, user data, and lineups were moved without error.

07 — Stabilize

Launch with support—and a way to change providers.

90 days of free launch stabilization and covered-defect correction is included in every replacement. Ongoing care after that is optional; you can appoint Calibre or another qualified provider.

Your team supplies the business knowledge. We handle the agreed delivery.

Calibre handles the agreed design, development, migration, testing, training material and handover. Your team demonstrates how work gets done, confirms priorities, participates in acceptance and approves the switch.

The aim is a managed replacement with clear decisions for your team, rather than a migration you must assemble yourself.
